These Terms of Service govern your use of botdoctor.io and services provided by Bot Doctor, operated by Deacon Ridley in DFW, Texas. By using this site or engaging our services, you agree to these terms.

Services

Bot Doctor provides custom business-system design, development, deployment, and ongoing maintenance for small businesses. Each engagement is scoped through a written proposal or statement of work, which supersedes general descriptions on this site.

A Business Checkup is a separate engagement resulting in a practical recommendation. Completing a Business Checkup does not obligate either party to a later build.

Payment

Payment terms, amounts, and schedules are stated in the applicable proposal or invoice. Work does not begin—or continue—on unpaid invoices beyond any grace period in the proposal. All fees are in US dollars. Completed work is non-refundable. If a project is cancelled after work begins, the client is responsible for the prorated value of completed work.

What we deliver

We build and maintain systems that may operate on your business data and infrastructure. We commit to delivering what is described in the written proposal, maintaining systems under an active retainer, responding within the support timeframes in your agreement, and promptly notifying you if an incident affects your systems.

We do not guarantee specific business outcomes such as revenue or conversion increases. Systems that use AI can be probabilistic. We design for reliability, review, and recovery rather than perfection.

Your responsibilities

You are responsible for:

• Providing accurate information during the Diagnostic and build.
• Granting necessary access to the systems, accounts, and data required to deliver the work.
• Ensuring your third-party tools permit the integrations being built.
• Reviewing system outputs, especially actions that interact with customers, until reliability has been validated in your environment.
• Notifying us promptly if you observe unexpected behavior.

Intellectual property

After full payment, you own the specific configuration, prompts, and workflows built for your engagement. We may reuse general techniques, methods, and non-client-specific components. We do not share your business-specific configuration or data with other clients.

Confidentiality

Both parties agree to keep business data, pricing, and technical details confidential. We do not discuss identifiable client engagements publicly without permission. We may refer to a general category of work without identifying details.

Limitation of liability

To the maximum extent permitted by law, Bot Doctor’s liability for a claim arising from these terms or services is limited to the total amount paid by you during the three months preceding the claim. We are not liable for indirect, incidental, or consequential damages, including lost revenue or data loss, even if advised of the possibility. This limitation does not apply to gross negligence or willful misconduct.

Termination

Either party may terminate a retainer with 30 days’ written notice. Project engagements may be terminated under the applicable proposal. On termination, we will provide reasonable transition assistance and return or delete your data according to written instructions within 30 days.

Governing law

These terms are governed by Texas law without regard to conflict-of-law principles. Disputes will be resolved in the courts of Tarrant County or Dallas County, Texas.

Changes to these terms

Material changes will be noted with an updated date. Active client engagements are not retroactively changed without written agreement.
